Terms & Conditions

Terms & Conditions for The Loft

Booking & payment

A booking is confirmed once we have confirmed availability and received full payment for the room hire.

Your booking gives you exclusive use of The Loft, including the main meeting room and adjoining private lounge, for the agreed period and for a maximum of 10 guests.

All prices are quoted exclusive of VAT unless stated otherwise.

Food, drink & additional experiences

Tea, coffee, water and soft drinks are included with room hire.

Food, wine tastings and other extras can be added to your booking. Final guest numbers, dietary requirements and catering requirements should normally be confirmed at least 7 days before your booking.

Additional items will be invoiced separately and must be paid for before your visit unless otherwise agreed.

Third-party activities and accommodation are provided by independent businesses and may be subject to their own booking, payment and cancellation terms.

If you need to cancel

We understand that plans change. Please let us know as soon as possible if you need to cancel.

If you cancel more than 14 days before your booking: full refund.

If you cancel 7–14 days before: 50% of the room-hire charge is refundable.

Less than 7 days before: the room-hire charge is normally non-refundable, reflecting the limited opportunity to rebook the space.

Where we are able to rebook your cancelled date, we will take this into account when calculating any cancellation charge or refund due.

Any catering, third-party or other costs already committed on your behalf may also be deducted from the refund.

Changing your booking

If you'd like to change the date or time of your booking, please contact us as soon as possible.

Where possible, we will be happy to move your booking to another available date. Any change is subject to availability and any additional costs associated with the new booking.

If we have to cancel

In the unlikely event that we have to cancel your booking and cannot offer a suitable alternative date, we will refund all payments made to us for services we are unable to provide.

Access & accessibility

The Loft is located on the upper floor of The Wine Rooms and is accessed via two sets of stairs. Unfortunately, there is no step-free access and the space may therefore not be suitable for guests with certain mobility requirements.

Please contact us before booking if you have any questions about access.

Arrival & departure

Your booking applies to the times shown on your confirmation. Please ensure that your group arrives and leaves within the agreed hire period so that we can prepare the space for other guests.

Additional time may be charged at our standard hourly rate where available.

Use of The Loft

The person making the booking is responsible for ensuring that their group uses The Loft and its facilities reasonably and with due care.

Any significant damage beyond reasonable wear and tear may be charged to the person or organisation making the booking.

The Loft must not be used for any unlawful purpose or for an activity materially different from that agreed at the time of booking.

Technology

Wi-Fi, screen and video-conferencing facilities are provided as part of your room hire.

We make reasonable efforts to ensure that these facilities are working correctly but cannot guarantee uninterrupted internet connectivity or compatibility with every device or software platform.

Personal belongings

Guests are responsible for their own belongings while visiting The Loft. Please take reasonable care of valuables and personal items.

Food allergies & dietary requirements

Please tell us about any allergies or dietary requirements when ordering food.

We will pass relevant dietary information to our food suppliers and take reasonable care when providing food and drink, but where food is prepared by third-party suppliers their own allergen procedures will also apply.

Conduct

We want The Loft to be a relaxed and enjoyable place for everyone. We reserve the right to end a booking where behaviour is dangerous, unlawful, seriously disruptive or likely to cause damage to the premises.

No refund will normally be given where a booking has to be ended for these reasons, subject to your statutory rights.

Your information

We will use the information you provide to administer your booking and communicate with you about your visit. Further information about how we use personal information is available in our Privacy Notice.

Your statutory rights

Nothing in these terms affects any rights you may have under applicable law.
